DUTIES OF STAMFORD PROPERTY MANAGEMENT
ONCE APPOINTED
- Manage the Bank Account on an ‘any two to sign’ basis, on
any sum above
and including £250.
- Ensure sufficient copies of Annual Accounts and circulate
to residents
at least twenty-four hours prior to the Annual General Meeting. Help
with budget plans
- Arrange half yearly meeting if required and any
extraordinary
meetings
that might arise.
- Work initially with your appointed accountants on the
annual
return of
accounts also cancellation and re-issuing of shares upon transfer of
flat ownership.
- Invoice and collect maintenance charges. Issue reminders
and
notices
for any late payments, followed up by legal action if so required. (In
consultation with your Treasurer).
- Meet with your members Management Board (Chairman,
Vice-Chairman,
Secretary, Treasurer when necessary.
- Respond to solicitor’s requests for management and lease
information in
the event of a sale. A current charge of £100 is payable by the seller.
Ensure that new purchasers or rented property occupiers are conversant
with Rules and Regulations prior to completion or any agreements.
- Ensure any adequate buildings insurance policy is
maintained and
premiums paid. Also obtaining the most competitive quote on an annual
like for like basis. Deal with Insurance claims following discussion
with Board of Management. Through our appointed insurance providers. A
charge will be levied if not our appointed agent.
- Arrange Director
& Office Insurance cover if requested.
- Supervision and payment of contractors and of replacement
contractors
as and when required. Ensure payments are made to time in accordance
with previous or revised agreements with such contractors.
- Work closely with the Management Board on current
preferred suppliers
list, whilst reviewing costs through the obtaining of competitive
quotations, as and when requested.
- Preparing Schedule for external decorations and existing
rolling
programmes.
- Ensure compliance with Lease and Rules and Regulations.
- Deal with matters such as replacement security lighting
and operation
failures.
- All requests for maintenance action, advance notification
of proposed
sale, or rental, of properties or general enquiries will be routed
through any members of the Management Board.
